We aim to make your visit with us a memorable experience that you will treasure for many years to come. However, we must ask that you read and accept the following terms and conditions which must be adhered to by all guests. This ensures we can maintain our standards, respect all our guests and ensure your safety, as well as establishing a clear legal contract for cancellation, damage and exceptional circumstances.



Booking Conditions


We reserve the right, at all times - without statement of reasons - to refuse a booking.

We reserve the right to terminate the booking of any customers whose party make up or behaviour may be or come to be a nuisance, danger or annoyance to others. In such instances no refunds will be offered.


When you make a booking a confirmation email will be sent to you listing the yurt, dates, times and payment details of your stay. Please contact us if you do not receive this within 48 hours of your booking request.  Booking and payment is considered the establishment of a legal contract. 


Duration:  There is a minimum of a 3 night stay.


Payment:  We request a 30% non returnable deposit at the time of booking to make a reservation, with the balance paid 6 weeks before your holiday. If the balance is not received by the that date you will be in breach of these conditions and could lose your booking.  If your booking is made less than 6 weeks before your holiday, we request payment is made in full.  The contract is formed between the party leader and ourselves when we send written confirmation of the booking to you.


When booking, a Damage deposit is reserved on your card for £150 - no money will be collected against this reservaton unless damage is found once guests have left.  This is to cover for significant damage not the occasional glass, plate breakage etc.  The reservation will be released with 2 days of the yurt has been checked. (Bookings from June 2019)


Authority to Sign:  The person who is the lead contact for the booking (party leader) certifies that they are authorised to agree the Booking Conditions on behalf of all persons included in the party, including those substituted or added at a later date; that they are over eighteen years of age and that they agree to take responsibility for the party.


Cancellation: We do NOT provide holiday cancellation insurance and we strongly suggest that you take this out separately.


In the event that you have to cancel your stay you must notify us immediately in writing.  Cancellation only takes effect when we have received written confirmation.  



If you cancel more that six weeks before your stay you will not be liable for the balance of the payment but the booking deposit of 30% will be payable.


In the event of cancellation within six weeks before the start of your stay the entire rental amount will be payable.  


We shall seek to relet the yurt at the best possible price but not necessarily at the advertised web site price or the price you booked at.  If the yurt is relet, monies received by us, less 20%, will be refunded within 2 weeks after the relet holiday has taken place.

If we are unable to relet the yurt for the period of the cancelled holiday, all monies paid shall be forfeited to us.


In the case of premature termination of the stay, the entire booking amount is payable.


Cancellation by Ourselves:  In the unlikely event that your holiday accommodation becomes unavailable due to reasons beyond our control we will try to offer you alternative accommodation of at least equal standard, if at all possible. Should this not meet with your approval or if no alternative is available, all monies will be returned in full and we shall not be under any other liability. 


Changes to bookings:  If, after confirmation of the booking, you would like to make some changes we will always endeavour to satisfy these requests but we are not obliged to do so.  Whether and to what extent these changes are accepted is at our discretion.


Group Bookings:  We may refuse group bookings of more than 1 yurt if we feel that accepting them may be of detriment to other guests staying.  We do not accept noisy groups, as we are not a party venue and look to provide a quiet, relaxing experience.  We ask our guests to appreciate this is a peaceful site and this should be particularly observed after 10pm.  We may refuse entry to any group bookings without prior authorisation at time of booking and any monies paid will not be reimbursed.  For questions regarding groups please contact us by phone or email.


Pricing: Prices on the website are not binding, but prices stated in any booking confirmation email you receive from us will be honoured as shown.


Data Protection

The information supplied on the booking form will be stored on our computer systems for administrative and marketing purposes only. This information will not be passed on to any third party without your prior consent.




Use of your accommodation.

Only those people listed on the booking can occupy your accommodation and use the facilities of the site. Over occupancy will result in additional charges or termination of the booking. No refunds will be offered.  No additional overnight guests are allowed.  Days guests must be agreed prior to commencement of your booking.



Guests must take good care of their yurt leaving it clean and tidy on departure.  The lead name for booking will be held responsible for the behaviour of the party and for the condition in which the yurt is left at the end of the stay.


Arrival/Departure: All yurts are available from 4pm on the day of arrival. On departure all yurts are to be left clean and tidy and vacated by 10am (unless we have agreed an extended check-out) to allow us time to make it lovely for the next guests ! 


BBQ/Fire Pit:  A BBQ and fire pit are provided for your enjoyment. Please ensure you extinguish them after use to avoid fire hazards. Parents should ensure children are supervised at all times to avoid accidents.  Coals, wood and firelighters are not provided but can be bought locally.


Children:  The site is a wonderful place for children to play, but parents or guardians are responsible for them at all times. Children must not play unsupervised anywhere on the farm or in the farm's woods and there is a nearby river that could be a hazard.  Graywood Canvas Cottages accepts no responsibility for injury incurred on site. Please be careful on the decking areas as they may be slippery after rainfall, appropriate outdoor footwear and the use of handrails provided are encouraged.


Flames, hunting and Fireworks:  No firearms, hunting paraphernalia, fireworks or Chinese lanterns are permitted on the farm. Naked flames of any sort (including candles) are not permitted inside the yurts. 


Damages and Breakages:  We reserve the right to charge for any damaged or missing items and for any other than normal cleaning being made necessary following your stay.  We reserve an amount of £150 on the payment card when placing a booking which will be in force during your stay.  It will be released once the yurt has been checked.




We don't allow any amplified music or loud revelling as this would disturb our other guests and local residents. We really do enforce this and request that noise after 10pm is kept to a minimum i.e. quiet talking. It’s really important to us that other guests have a peaceful break and are shown respect.  To ensure that this is the case there is no use of the hot tubs after 10pm.  Anyone committing a nuisance or disturbing the peace may be asked to leave immediately and without a refund. It is not permitted to play music outside or loudly in the yurt.


No Fire Policy: Fires are restricted strictly to the BBQ/Fire pit provided.


No Smoking Policy: The entire Graywood Canvas Cottage site and Graywood Farm is a no smoking site.


No Pets: We're sorry, we don't allow dogs or any other pets (except service dogs) on the Yurt site as it is a working farm. 


Security and Keys:  You are responsible for locking your yurt for the duration of your stay.  You will be provided with a key upon arrival and this must be left on the table on departure.  Should any key be lost during your stay please immediately notify the owner.  A charge will be made for replacement.


Parking:  There is a parking space next to your yurt.  Should an additional space be required please let us know at the time of booking.  At no time should vehicles block the roadway for the safety and convenience of all guests and for access for emergency vehicles.  Please take care not to drive on the grass or planted areas. 


Yurt Structure:  It is prohibited to interfere or adapt the structure of the yurt in any way. 


Wildlife:   There is an abundance of wildlife on the farm. Enjoy it but be careful. Put your food in the containers provided otherwise mice or birds could try and eat it. Don’t leave rubbish outside of the yurts as foxes could scatter it.


Hot Tubs:  There are specific rules relating to the hot tubs which can be found on this page and by booking you have agreed to abide by them.  Hot tubs cannot be used after 10pm or before 8am.




General Safety:

Each yurt has a smoke, carbon monoxide detector, and fire extinguisher. In the unlikely event of a fire, all guests should report to the fire assembly point located by the metal farm gate at the end of the driveway. Full evacuation details are provided in your welcome pack. We take every care to ensure you have a safe and enjoyable holiday, but cannot be held liable for any accidents or consequential loss. 


Negligence:  Guests will be held responsible for any fire, damage or alteration to the structure caused by negligence. 


Liability:  No liability is accepted in respect of loss or damage to any guest, their baggage, car or contents resulting from riot, war, strikes, adverse weather conditions, sickness, injury or loss or damage by a third party.  This does not exclude liability for the actions of employees or subcontractors.  We strong recommend that you take out your own holiday insurance.



Complaints:  If, upon arrival, you feel that there are reasonable grounds for complaint about your holiday accommodation we must be contacted immediately so that, were possible, appropriate action can be taken during your stay. If a reason for complaint shall arise during your holiday, you must similarly contact us as soon as the problem arises. No complaints will be considered after completion of your holiday, unless we were notified when they arose.


Whilst everything within our power will be done to attend to repairs to the accommodation/furniture/equipment/facility that may be faulty or fail during your holiday, no guarantees will be given and no refunds will be granted should any breakdown occur and not be immediately rectified.



The property owner, his/her representative, must be allowed access to the holiday accommodation at any reasonable time for essential maintenance or annual Quality Grading inspection. Wherever possible prior arrangements will be made.


Lost Property:  We regret that we cannot accept responsibility for any lost property left behind at the end of your stay. Whilst we will make every reasonable effort to return lost property this will only be done on receipt of a minimum payment of £10 to cover the cost of packaging and registered post.


Responsibility:  All reasonable effort will be made to advise clients in advance of any situation which may affect your holiday. However, we accept no liability for any disturbance which may occur and is outside of our control. Clients should understand neighbours of holiday properties are not obliged to advise us of any work/disturbance they may be undertaking as long as this is within legal limits.


Stolen Property: Graywood Canvas Cottages cannot be held responsible for any stolen property.
